1. Purpose
RoofHyve may use artificial intelligence (“AI”), machine learning, automation systems, predictive analytics, algorithms, decision-support technologies, and related automated processing technologies within its software platform and related services (collectively, “AI Features”). AI Features may be disabled unless made available in your account, plan, or region. This Disclosure applies only if and when AI Features are available or used.
This Disclosure explains how AI Features may be used, how information may be processed, user responsibilities, automated processing practices, applicable rights, and limitations of AI technologies. It supplements the Terms of Service, Privacy Policy, Data Processing Addendum, Cookie Policy, and Acceptable Use Policy.
2. Definitions
“AI Feature” means a feature using artificial intelligence, machine learning, natural language processing, predictive modeling, automation, recommendation engines, generative systems, classification systems, or similar technologies.
“Automated Processing” means processing performed by software, algorithms, or technology with limited or no direct human intervention.
“AI Output” means any recommendation, analysis, prediction, generated content, communication, estimate, report, classification, or other information produced by an AI Feature.
3. AI Features May Include
Proposal or estimate drafting assistance.
Customer communication, email, or SMS drafting assistance.
Workflow automation, task recommendations, and scheduling recommendations.
Lead scoring, sales forecasting, revenue forecasting, and reporting.
Document summarization, project analysis, and data categorization.
Fraud detection, security monitoring, and support assistance.
Business intelligence reporting and analytics.
4. Information That May Be Processed
Depending on the functionality used, AI systems may process names, contact information, customer records, proposal information, contract information, project information, communications, uploaded documents, images, notes, scheduling information, workflow information, business metrics, employee information, attendance records, geolocation information, and subscription information. Sensitive personal information should be submitted only where necessary and permitted by law and the Privacy Policy.
5. Customer Control and Responsibility
Customers remain responsible for determining what information is uploaded or entered into AI Features, whether AI Features are enabled or used, whether AI Outputs are relied upon, and whether required notices, consents, authorizations, or approvals have been obtained. Customer remains responsible for all final decisions, customer communications, contracts, proposals, employment decisions, payroll actions, and regulatory obligations.
6. No Automated Legal, Employment, Credit, Insurance, or Similar Decisions
RoofHyve does not intend for AI Features to independently make decisions regarding employment eligibility, hiring, termination, promotion, compensation, credit determinations, insurance determinations, legal determinations, regulatory determinations, or government benefit eligibility. Users remain solely responsible for all final decisions and should not use AI Features in a way that creates legal or similarly significant effects without legally required human review and authorization.
7. Human Review Required
AI Outputs are decision-support tools only. Users should independently review, verify, and evaluate all AI Outputs before acting on them. Human review is especially required before sending customer communications, issuing proposals, creating contracts, making employment decisions, processing payroll, submitting regulatory filings, or making financial decisions.
8. No Guarantee of Accuracy or Professional Advice
AI Outputs may be inaccurate, incomplete, outdated, biased, misleading, or contextually wrong. AI Outputs do not constitute legal, tax, accounting, insurance, payroll, human resources, regulatory, engineering, or construction advice. Users should consult qualified professionals before relying on AI Outputs for regulated, technical, legal, or financial matters.
9. Training of AI Systems
Unless expressly disclosed otherwise in writing, RoofHyve does not intentionally use Customer Personal Information to train public-facing artificial intelligence models. RoofHyve may use aggregated, de-identified, anonymized, statistical, or operational information to improve platform performance, security, analytics, and AI functionality where permitted by law and agreement.
10. Third-Party AI Providers
RoofHyve may use third-party AI providers such as large language model providers, machine learning providers, cloud AI providers, natural language processing providers, or security analytics providers. Such providers may process information pursuant to contractual obligations and applicable privacy laws. RoofHyve does not control independent third-party privacy practices.
11. Automated Processing and Profiling
Automated processing may be used to route workflows, assign tasks, generate notifications, detect fraud, identify security threats, prioritize leads, schedule communications, generate recommendations, and monitor system performance. Profiling activities may identify usage patterns, product engagement, operational trends, customer interaction trends, and platform performance metrics. These activities are intended to support operations and not replace human decision-making.
12. Rights Regarding Automated Processing
Where required by applicable law, individuals may have rights concerning certain automated processing activities, including access, correction, deletion, objection, opt-out, appeal, or information rights. Requests may be submitted using the methods described in the Privacy Policy.
12A. Account Deletion and AI-Related Records
Individual account deletion requests are handled as described in the Privacy Policy and applicable Terms. Where possible, RoofHyve may delete, anonymize, restrict, or de-identify personal account profile information associated with the requesting user.
Deleting an individual user account does not automatically delete Customer Data, project records, proposal records, communications, AI prompts, AI Outputs, audit logs, security logs, or business records that RoofHyve or a roofing company may retain for legal, tax, accounting, compliance, security, fraud prevention, dispute resolution, contract enforcement, quality, operational, or business recordkeeping purposes.
Aggregated, de-identified, anonymized, statistical, or operational information may be retained and used as described in this Disclosure, the Privacy Policy, the DPA, and the applicable agreement.
13. Security of AI Processing
RoofHyve implements commercially reasonable safeguards designed to protect information processed through AI Features. No system can guarantee absolute security. Users should avoid entering information into AI Features unless necessary for the intended business purpose.
14. Disclaimer, Liability, and Indemnification
TO THE MAXIMUM EXTENT PERMITTED BY LAW, AI FEATURES AND AI OUTPUTS ARE PROVIDED “AS IS,” “AS AVAILABLE,” AND WITHOUT WARRANTIES OF ANY KIND. The disclaimers, limitations of liability, and indemnification obligations in the RoofHyve Terms of Service apply fully to AI Features, AI Outputs, automated processing activities, and related claims.
15. Changes
RoofHyve may update this Disclosure as technologies, features, and legal requirements evolve. Updated versions become effective upon posting unless otherwise required by law.
